SGA Tools for Student Orgs

Please use the links below to access helpful tools provided by SGA's Executive Board to be used by UMassD student organizations and their officers.

Student Org Recognition & Policy

​

To complete the process of becoming an SGA Recognized Organization you must:

​

  1. Check Your Qualifications

    • Make sure that you check and agree to all of the requirements for recognition listed in the SGA Constitution

    • You must have at least 10 students to start the SGA recognition process (this can include your Officers)

  2. Email the SGA Vice President by clicking here and include the following information:​

    1. Purpose & Name (Mission Statement)

      • State the official name of your club (please do not use abbreviations)

      • State your club’s purpose (this is included on all organization constitutions and is used to differentiate student groups)

    • Founding Officers

      • List the President, Vice President, Treasurer, and Secretary (please note: these all must be different students)

    • Constitution Draft

  3. Be Reviewed and Receive Approval from the SGA Policy Committee

    • If the Vice President approves your request to start an organization, the SGA Policy Committee will review a draft of your constitution. Make sure to submit one, otherwise the recognition process has not officially begun

    • The Policy Committee will review the constitution and suggest edits to help the likelihood of the constitution passing through the Senate.

  4. Receive Approval from the SGA Senate

    • In order for the Constitution to be finalized, it must receive approval the SGA Senate through a recorded vote.

​To complete the process of amending your Recognized Organization's constitution, you must:

​

  1. Check Your Qualifications

    • Make sure that your organization is adhering to all of the requirements for recognition listed in the SGA Constitution.

    • Please note: you may be asked about some of these requirements during the amendment process, and discovery of requirements not being followed will lead to review by the Organization Coordination Chair, Vice President, and President of SGA. Such a review can end in an organization being suspended, though that is never our goal.

  2. Email the SGA Vice President by clicking here and include the following information:

    • ​Purpose & Name (Mission Statement)

      • State the official name of your club (please do not use abbreviations)

      • State your club’s purpose (pasted from your constitution)

    • Identify Current Officers

      • List the current President, Vice President, Treasurer, and Secretary

      • Please note: these all must be different students

    • Amended Constitution​​

  3. Be Reviewed and Receive Approval from the SGA Policy Committee

    • If the Vice President approves your request to amend your organization’s constitution, the SGA Policy Committee will review your current constitution and any updates/changes you wish to make.

    • An amendment process will only be denied if the proposed amendment goes against SGA written requirements for organizations or if there is not enough time left in the semester to begin the review process.

    • ​The Policy Committee will review the constitution and suggest edits to help the likelihood of the constitution passing.

  4. Receive Approval from the SGA Senate

    • In order for the Constitution to be finalized, it must receive approval the SGA Senate through a recorded vote.​

Please note that the last day to begin either of these processes for the Fall 2024 semester is November 25th at 12PM sharp.

Student Org Recognition & Policy

Student Org Finances​​​

​To complete the process of becoming an SGA Funded Organization you must:​

  1. Check Your Qualifications

    • Make sure that you check and agree to all of the requirements for recognition listed in the SGA Constitution

  2. Email the SGA Treasurer by clicking here and include the following information:​

    • Purpose & Name (Mission Statement)

      • State the official name of your club (please do not use abbreviations)

        • State your club’s purpose (this is included on all organization constitutions and is used to differentiate student groups)

    • Explained need for funding​

      • This is your initial pitch to the SGA Treasurer on why your Recognized Organization should be considered for further recognition as a Funded Organization, and what you would do with potential funding.

  3. Introduce the Request to the SGA Finance Committee

    • If the Treasurer approves your request to seek recognition as an SGA Funded Organization, the SGA Finance Committee will meet with you and ask questions regarding your explained need for funding.

  4. Introduce the Request to the SGA Senate

    • If the Treasurer approves your request to seek recognition as a Funded Organization, the SGA Finance Committee will meet with you and ask questions regarding your explained need for funding.

  5. Have the Request Voted on by the Finance Committee​​

    • After the introduction of the request, the organization will meet again with the SGA Finance Committee until they receive an approval vote to send the request to the Senate for final approval.

  6. Have the Request Voted on by the ​Senate

    • In order for the request to be finalized, it must receive approval the SGA Senate through a recorded vote.​​

To complete the SFP request process you must:

  1. ​Fill out the SFP Request form (linked herein its entirety​.

  2. Email the completed form to the SGA Treasurer by clicking here.

    • Upon receipt of the completed SFP Request form,​ the SGA Treasurer will decide whether to accept the request and bring it to the Finance Committee and Senate for further consideration.

  3. Introduce the SFP Request to the SGA Finance Committee​​

    • ​​The submitted SFP Request will be introduced to the SGA Finance Committee following its submission to the SGA Treasurer.

  4. Have the Request Introduced to the Senate

    • Upon receipt of the completed form, the SGA Treasurer will introduce the SFP Request Form​​ at the next SGA General Body Meeting, for the Senate to ask questions to the Finance Committee members and officers of the requesting organization.

  5. Have the Request Voted on by the Finance Committee​​

    • After the Senate Introduction of the SFP Request, the Finance Committee will meet weekly with the requesting organization's officers to review and ask questions, until the SFP Request receives an approval vote from the committee.
  6. Have the Request Voted on by the ​Senate

    • After the Finance Committee approves the SFP Request, the ​​​Senate will review and vote on the SFP Request at the following SGA General Body Meeting. At this meeting the request will be either approved or denied by the SGA Senate, which is final.

​To modify your Funded Organization's SGA approved purchases for the 2024-2025 academic year:

  • Please fill out the 2024-2025 Budget Reallocation Form (linked here) in its entirety, and email it to the SGA Treasurer by clicking here.

    • The SGA Treasurer will get back to you within 48 hours with a response.​

Student Org Finances

SGA-Provided Services​​​

  • To request to store your organization's items safely in the SGA Office in an SGA Storage Bin, please fill out the request form by clicking here.

  • To request a mediation between your organization's officers or members and the SGA Organization Coordination Chair and/or Executive Board, email the SGA Organization Coordination Chair with by clicking here, with the following information:​

    • Org/Student Names

      • State the names of the parties you would like SGA to mediate. This can be two organizations, an organization and a department, an organization and an administrator, students/staff within an organization, or any combination of students/staff/faculty.

      • Please note: If you are requesting a mediation between a student and their professor, SGA may refer you to an administrative source, such as the Office of DEI or your program’s Chair.

    • Synopsis Submission (Private)

      • Submit a brief timeline of events you would like SGA to touch on or be aware of.

      • Please note: this timeline will be seen only by the relevant SGA officials until and unless the approval of the student who submits or the revelation of harmful information. The SGA Executive Board are Mandatory Reporters!

  • To request an event/meeting collaboration with the SGA, email the SGA Corresponding Secretary by clicking here, with the following information:​​​
